Sales Orders
Customer orders for products and installations: deposits, fulfillment, installation scheduling and invoicing.
Create Sales Order
- 1Click New Order.
- 2Pick the customer and Sold By, and choose the Retail Location.
- 3Set the Pickup Location and Pickup Person if the customer is collecting the order, and an Installer if you’re installing it.
- 4Add line items (search the catalog, add labor, or drop in a package).
- 5Add Notes for the customer and Internal Notes for staff, then click Create Sales Order.
Collect Deposit
- 1Open the order and click Collect Payment.
- 2Enter the amount and choose how to collect it: send it to a Clover Terminal, Send Link to Customer by text or email, take a card over the phone or charge a card on file, or Record Manual Payment for cash, check or ACH.
Deposits appear under Financial Summary and are applied to the order’s invoices.
Generate Invoice from Sales Order
- 1Open the order and choose Generate Invoice from the actions menu.
- 2To bill only part of the order, set the Qty to invoice on each line.
- 3Check the totals (deposits are applied automatically) and create the invoice.
The Billing progress bar shows the deposit collected, what has been invoiced so far and what is left to invoice.
Create Pick List
- 1Open the order and choose Create Pick List (in the actions menu or the Pickups & Fulfillment section).
- 2Choose the phase (full order, installation materials or setup), the Pickup Date and who it is Assigned To.
- 3Create it. The warehouse picks it from Pick Lists.
Items short on stock are marked backordered and picked automatically once stock arrives.
Mark Order Picked Up or Shipped
From the actions menu, choose Mark as Picked Up when the customer collects the order, or Mark as Shipped and enter the carrier and tracking number.
Schedule Installation
- 1Open the order and click Schedule Installation.
- 2Pick the install date and start and end times. For multi-day jobs, set the last day.
- 3Choose the Lead installer, the crew size needed and the crew, and add notes for the crew.
- 4Save. The install visit appears on Install Dispatch.
Add Change Order
Once the customer has agreed to an order, add or change work with a change order in the Change Orders section. The customer approves it like a quote, and its lines are added to the order when they accept.
Track Permits
In Permits & Inspections, click Add Permit and record the type, jurisdiction, permit number, dates, inspection result, fee and notes.
Log Install Hours
In Job Costing, click Log Hours and choose the work order, technician, date and hours. The card compares revenue with materials, permits and labor to show gross margin.
Refund Deposit
- 1Click Refund beside the payment under Transaction History.
- 2Enter the Refund Amount. Enter less than the full amount if part of the deposit is non-refundable.
- 3Add a note and click Process Refund.
Return Unused Materials
After an install, click Return Unused Materials and check what the crew brought back. This opens a return on the order; receiving it puts the stock back and credits the customer.
Create Work Order from Sales Order
Under Linked Work Orders, click Create Work Order (or Create Fuel Conversion) to start one already tied to this order.
Cancel Sales Order
Choose Cancel Order from the actions menu and confirm.
